Contractor Validation
The IMS Global Corp Contractor Validation Program involves the following steps:

New Contractors – Client advises IMS of Contractors who are to be placed on the Contractor Validation list.

Deleted Contractors – Client advises IMS when Contractors are deleted from their list. The report will be revised accordingly.

COR Verification – IMS determines whether the Contractor has a current COR using available online services. IMS will check the full list quarterly and will check all new listings as they are entered. If a Contractor loses their COR status, this will be followed-up with a fax and a phone call, if necessary.

WCB Clearance – All Contractors are added to the WCB Direct Employer Clearance Certificates system. IMS receives a daily e-mail from the WCB, which lists those Contractors whose WCB clearance has been denied. IMS will contact the Contractor if more than one week passes with denied clearance. If the deficiency is not promptly corrected, the Client will be advised.

Insurance – Upon signing up, Contractors are requested to send a copy of their Certificate of Insurance to IMS. As insurance certificates approach expiry, IMS will request the new certificate via fax and a follow-up phone call, if necessary. If a deficiency is not promptly corrected, the Client will be advised.

Annual Orientation – When orientations are conducted at the work site using the standardized IMS-supplied orientation booklet, the tear-off section of the orientation booklet will be sent to IMS for entry into the system. The tri-fold hard copy will be scanned and filed. Contractor employees who have received the orientation will be listed on a Contractor spreadsheet, which will be available for viewing by IMS clients online.

Companies without COR - IMS will make efforts to get all companies without a COR to have a senior responsible member of the company review the orientation booklet with their employees who may be expected to enter a client's work site and send the tear-off documentation in to IMS for entry into the system.

Contractor Listing - For each Contractor, IMS will prepare a listing of those people in the company who have participated in the orientation. The listing will include when the participant's next annual orientation is due. Because several of the Contractors perform services for more than one of the IMS Clients, all IMS Clients will have access to this information regardless of who performed the orientation. Costs can be reduced by knowing promptly which Contractor personnel have participated in the orientations within the year.

Orientation-Only Contractors – Frequently, Contractors' Orientations occur on site for companies who are not on the Client’s list of Contractors. For those companies, unless their information is already in the system, they will only be listed as having been oriented. COR and WCB information will be entered, but additional information will not be requested unless the Client adds the company to their listing.

Reporting – IMS will issue reports monthly. IMS is working towards having the Contractor Validation information online so that Clients can access their own reports at their convenience.
